Privacy Policy

1. Introduction

Quotio ("we", "our", or "the app") is a voice-to-quote application for iOS and Android. This Privacy Policy explains what data we collect, how we use it, and how we protect it. By using Quotio, you agree to this policy.

2. Data We Collect and Use

  • Account data: When you sign up, we use Clerk for authentication. We receive your email and user identifier and store them in our database so we can provide the service (e.g. link your quotes and settings to your account).
  • Profile and settings: Business name, preferred language, price list (item names, prices, units), labor rate, currency, company name/address/phone/email, tax settings, custom terms & conditions, and an optional business logo. This data is stored in our database and used to generate quotes and PDFs.
  • Clients: Names, addresses, emails, and phone numbers you add for your clients. Stored in our database and used to attach clients to quotes and show them on PDFs.
  • Voice recordings: When you record an estimate, the audio is uploaded to our servers and then to cloud storage (AWS S3). It is used only to generate transcripts and quote content.
  • Transcripts and quote content: Your audio is transcribed and processed by AI (see Third-party services below). We store the transcript and extracted quote data (line items, labor hours, etc.) and use them to build and store quote PDFs.
  • Subscription data: If you subscribe to Premium, we use RevenueCat for in-app purchases. We store whether your account has an active Pro subscription so we can apply limits (e.g. quote count) and PDF branding (e.g. no watermark) correctly.

3. Third-Party Services

We rely on the following services. Each has its own privacy practices; we encourage you to read their policies.

  • Clerk: Authentication (sign-up, sign-in). Clerk processes your email and identity data. See Clerk's privacy policy.
  • OpenAI: We send your voice recordings (after upload) and the resulting transcript text to OpenAI for transcription (Whisper) and for extracting quote items and labor hours (GPT). Their use of data is governed by their terms and privacy policy.
  • AWS S3: We store your uploaded audio files, generated PDFs, and business logos in Amazon S3. Data is stored in the region we configure and is not used by us for any purpose other than providing the app.
  • RevenueCat: Handles in-app subscriptions. We pass your account identifier (same as Clerk user ID) so we can match subscription status. See RevenueCat's privacy policy for their practices.
  • Expo / React Native: The app uses Expo (e.g. SecureStore) to store your session token securely on device. We do not collect device identifiers for advertising.

4. How We Store and Protect Data

Account, profile, clients, and quotes (metadata and content) are stored in a database (PostgreSQL). Audio files, PDFs, and logos are stored in object storage (S3). Access to the app API is authenticated (e.g. via Clerk tokens) and we use rate limiting to reduce abuse. We do not sell your data.

5. Data Retention and Deletion

You can delete your account at any time from the app (Settings → Delete account). When you do, we permanently delete your user record, all your quotes and clients, and associated files (audio, PDFs, logo) from our database and storage. Your Clerk identity is not deleted by us; the app will sign you out. Subscription and billing history may remain with the store (Apple/Google) and RevenueCat as per their policies.

6. Your Rights

Depending on where you live, you may have rights to access, correct, or delete your data, or to object to or restrict processing. You can exercise account-level deletion via the app as described above. For other requests or questions about this policy, contact us using the details provided in the app or on our website.

7. Changes

We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date. Continued use of Quotio after changes means you accept the updated policy.
